📌 Administrative Assistant — Corporate Citizens LLC

Location: Plainview, NY (Hybrid)

Employment Type: Full-Time

Compensation: $42,000 – $58,000 per year (based on experience) + performance bonuses

Corporate Citizens LLC is a full-service accounting, tax, corporate structuring, and financial advisory firm dedicated to helping everyday Americans transition from employee to employer and onward to investor. We work with entrepreneurs, real estate investors, small business owners, and individuals across the country, offering Wall Street–level strategy with the personalized service of a boutique firm.

We are rapidly growing and seeking a reliable, organized, and energetic Administrative Assistant to support daily operations, client communication, internal scheduling, and team workflow.

✨ Position Overview

The Administrative Assistant will be the central point of communication for clients, staff, and leadership. You will support both the accounting/tax team and the advisory team by ensuring smooth operations, timely follow-ups, accurate documentation, and exceptional client service.

This is a great role for someone who is detail-oriented, tech-savvy, and excited to grow in a fast-moving professional environment.

🧾 Key Responsibilities

Client Communication & Support

  • Answer and route phone calls professionally
  • Respond to client emails, inquiries, and scheduling requests
  • Provide updates to clients regarding documentation, appointments, or filing statuses
  • Maintain a positive and welcoming experience for all clients

Office & Team Support

  • Organize and maintain digital records, files, and client folders
  • Assist with document collection, scanning, and uploading into firm systems (HubSpot, QBO, ProConnect, etc.)
  • Prepare basic correspondence, letters, and template-based client documents
  • Schedule appointments, consultations, and internal meetings
  • Track incoming/outgoing documents and ensure nothing falls through the cracks

Operational Coordination

  • Assist with onboarding new clients and preparing intake materials
  • Support tax-season workflows by helping collect required forms and data
  • Maintain calendars and deadlines for the tax & accounting team
  • Perform basic bookkeeping/administrative entries (training provided)
  • Handle small project tasks as assigned by leadership

🎓 Qualifications

  • High school diploma required; associate’s or bachelor’s preferred
  • 1–3 years of administrative, office, or customer service experience
  • Strong communication skills (written & verbal)
  • Highly organized with excellent attention to detail
  • Tech-savvy: comfortable using email, spreadsheets, scheduling tools, and CRM systems
  • Ability to multitask and manage competing priorities
  • Professional, reliable, and eager to grow
  • Experience with QuickBooks, Google Workspace, or CRM systems is a plus (not required)

💰 Compensation

  • $42,000 – $58,000 base salary, depending on experience
  • Quarterly performance bonuses
